1. Service catalog and rules
Each service needs a clear name, duration, active state, and any rules that change its availability. Prices, deposits, add-ons, and cancellation policies belong only when the business actually needs them and the product supports them.
2. Staff and resource assignment
Represent which staff members or resources can deliver each service. A booking system should not offer a slot merely because one employee is free if the selected service requires someone else or a specific room.
3. Availability calculation
Availability combines opening hours, staff schedules, breaks, time off, service duration, buffers, existing appointments, and time-zone rules. Explain which inputs are authoritative and when they are recalculated.
4. Customer booking and identity
Collect only the details needed to fulfill a booking. Decide whether customers need accounts, how contact details are verified, and what they can see or change after confirmation. Keep public booking endpoints narrow and rate-limited where appropriate.
5. Appointment lifecycle
A booking needs states and transitions: requested, confirmed, cancelled, rescheduled, completed, or other business-defined states. Prevent invalid transitions and keep an audit trail for administrative changes when the business requires it.
6. Administration and calendar
Staff need a useful way to review appointments, customers, services, and schedule exceptions. Calendar filters, clear time zones, empty states, and mobile behavior matter more than adding every chart to the first dashboard.
7. Operations and safeguards
Backups, authorization, migrations, error handling, notification delivery, and support procedures determine whether the app can be operated safely. SMS, payments, CRM sync, and external calendar integration are separate scope items; do not assume a visual booking flow includes them. Use the booking software project checklist to track planning, testing, and deployment considerations.
The BDS appointment-booking source package combines customer booking with service, staff, appointment, calendar, enquiry, and admin screens. Check its live demonstration and documented exclusions to see whether the included components fit your project.
